Detail

Setup & Usage Guide for FilePulse 360 Email Service

After the installation of the latest FilePulse 360 package, users need to follow the below steps to set up the email service feature:

  1. Setup an Email service on your Salesforce Org :

        • Go to Setup -> Custom Code -> Email Service

        • Create a new Email Service.

        • Add service name e.g. FilePulse 360 Email Service

        • Select the "FilePulseEmailService" class for the apex class.

        • Accept Attachments: All

        • Accept Email From: This can be defined by the org's admin based on their security. If you need emails from a specific email or domain you can put that here e.g. tejender@appluent.net or @appluent.net (Leave it blank to accept email from any email address)

        • Active = true

        • Save

        • Setup an Email On Email Service.

        • Open the created email service and create a new Email Address

        • Email Address Name: Add any name

        • Context User: Email Service Context User has to be an Org’s Admin User with Filepulse License and Permission Set Assigned

        • Accept Email From: This can be defined in the same way as described for the above email service setup.

        • Save.

  2. Add Filepulse Custom LWC Component on the Object’s Record Page to generate and view keys.
    • Go to the Object’s record page you will receive the files using email (For example, Contact, Account, or any other object.)
    • Edit the object's lightning record page
    • Search for "FilePulse - Record Opt-In" on components and add the same on your record page.
    • Save/Activate
    • Use the Generate Code Button on the page to generate a unique 6-digit record where you would receive the files using email.

  3. Set up an Email where you can receive any errors if any email processing fails.
    • Go to Setup -> Custom Code -> Custom Metadata Type -> Select Failure Exceptions Email
    • Click "Manage Failure Exceptions Email"
    • New -> On the label add an Email Address where you would like to receive the error message of the email service. (in case of error or exception).
    • Failure Exceptions Email Name -> let it be as it will be generated based on the label.
    • Save

Email Service Functionality Usage

      • Using the Generate Code Button on the record page, the user can first generate a unique code for the Salesforce record where they want to receive the files using emails.

      • Users can send an email with attachment(s) to the newly created email service’s email address. (Based on the above setup)

      • The Email’s Attachment name must follow the below naming guidelines to successfully relate the attachment with the salesforce record:

      • The file name can either have the unique key at the end of the file name after a hyphen or the generated key value can be used as the name of the attachment.

      • E.g. If the record’s generated unique Key: 936TRE

      • The Email Attachment file name can either be:

        • AnyText-936TRE.filetype OR 936TRE.filetype
